How a Hungary-Based Greentech Startup Doubled Operational Capacity with Odoo

Case Study Greentech · Energy

Sawin needed more than an ERP. They needed a system that could talk to their proprietary energy calculators, eliminate manual handoffs, and scale without headcount. Here's what that looked like in practice.

The Client

Sawin (formerly EZ Innovations) is a Hungary-based greentech startup helping businesses make smarter energy investments — across HVAC, solar, and heating. Their edge? Proprietary energy-saving calculators that turn complex ROI models into actionable proposals for clients.

The calculators — built on Airrange, a platform that converts Excel models into dynamic web apps — were genuinely differentiated. The operations holding those calculators together were not.

Four Problems, One Root Cause

Sawin's issues weren't unusual for a fast-growing startup — they just had a compounding effect. Each of these four problems fed the others.

01 — Integration

Airrange ↔ CRM was manual

When a prospect used Sawin's energy calculator, the resulting lead data had to be manually copied into their sales system. Every hour of delay meant a colder prospect.

02 — Automation

Everything ran on manual emails

Follow-ups, approvals, document sharing — all handled person-to-person. In a small team competing against larger European firms, this was time Sawin couldn't afford to burn.

03 — Project Visibility

No unified vendor tracking

Managing third-party installation partners across multiple projects meant chasing updates over email and WhatsApp. Deadlines slipped. Accountability was unclear.

04 — Inventory & Warranty

High-value assets, zero tracking

Solar panels and HVAC systems are expensive. Without real-time stock visibility or warranty card management, Sawin was exposed to both financial risk and customer satisfaction issues.

What We Built

The implementation wasn't a standard Odoo rollout. Each module was configured — and in some cases extended — to fit how Sawin actually operates, not how a textbook ERP assumes they should.

1

Airrange ↔ Odoo API Integration

Custom APIs were built to connect Sawin's Airrange-powered energy calculators directly to Odoo CRM. When a prospect completes a calculation, a lead is automatically created, assigned, and queued for follow-up — zero manual input required. Conversion rates rose 27% within the first quarter post-launch.

2

End-to-End Sales & Document Automation

Automated pipelines replaced the email chains. Quotations, approvals, and reporting now flow through Odoo without manual routing. The team reclaimed significant time previously lost to administrative coordination — time now spent on actual client work.

3

Bespoke Project & Vendor Management

Odoo's project module was configured with custom workflows specific to Sawin's installation cycle — task assignments, milestone triggers, and vendor check-ins are all centralised. Every stakeholder sees the same project state in real time. No more status-update calls.

4

Multi-Warehouse Inventory + Asset & Warranty Tracking

A centralised inventory system now covers stock across multiple locations, with real-time fulfilment tracking. Critically, asset-level warranty cards are now managed within Odoo — so Sawin knows, at any moment, the warranty status of every piece of equipment in the field. This reduced financial exposure and improved after-sales response times.

💡 Why Odoo and not a point solution? Sawin evaluated standalone CRM and project tools, but the fragmentation would have recreated the same problem — just with a different interface. A unified platform was the only way to close the loop between lead generation, project delivery, and asset management.

What Made This Implementation Work

Not every Odoo implementation produces results like this. A few things distinguished this engagement:

  • Custom API work was scoped upfront. The Airrange integration was the centrepiece of the project — spec'd, tested, and delivered as a first-class deliverable, not an afterthought.
  • Modules were configured to real workflows. Standard Odoo project management doesn't map to a field installation business. Bespoke workflow logic was built to match how Sawin's teams actually operate.
  • The cost calculus was respected. Sawin competes against larger European firms. The implementation delivered enterprise-grade capability at a cost profile that protected their margin advantage.
  • Inventory and warranty were treated as first-class concerns. For a company selling high-value physical equipment, these aren't optional modules — and were treated accordingly from day one.
