Mahuva, Gujarat is India's dehydration capital — and Lalsai Global Limited has been one of its most ambitious exporters since 2014. With a product range spanning dehydrated onion flakes, garlic granules, tomato powder, and spice blends, LD Food supplies food manufacturers, private label brands, and importers across Europe and the United States.

They were attending exhibitions and returning with hundreds of buyer contacts. Country sales leads were managing their own pipelines in Europe and the US. Samples were going out regularly to serious buyers.

But without a structured CRM and sales system, every lead, sample, and quote lived in spreadsheets and email threads. The pre-sales engine that should have been their biggest competitive weapon was the most fragile part of the business.

The Challenge

What Was Breaking in Pre-Sales

The leads, samples, and quotes were all there — just scattered across the wrong tools.

Lead Management
Expo leads with no follow-up system
Hundreds of contacts from Anuga, SIAL, and regional food shows landed in spreadsheets with no routing, no ownership, and no follow-up cadence. High-potential buyers went cold.
Geography
Country teams operating in silos
The US manager, European regional lead, and Mahuva HQ each had separate pipelines. No consolidated view, and no way to measure which market or expo was actually performing.
Sample Tracking
Samples sent, never systematically followed up
Physical samples were dispatched to buyers across Europe and the US with no tracking — no follow-up trigger, no conversion record, no way to measure sample-to-order rate.
Quoting
Manual quotes, rebuilt from scratch every time
Every quote was assembled manually. A buyer asking for FOB, CIF, and DDP pricing meant three separate documents, hours of work, and no version control if a dispute arose later.
Buyer Specs
Packaging requirements buried in email threads
EU and US buyers have specific packaging, labelling, and compliance requirements. With no spec library, errors occasionally reached production — causing rework and delayed shipments.
Sales Scaling
No system for onboarding new sales reps
Adding a new country representative meant a spreadsheet handover. Pipeline visibility for leadership was non-existent. Growth was dependent on individuals, not process.

🌍
Centralised Lead Pipeline — All Geographies, One View
Every lead — expo badge scans, website enquiries, referrals, distributor introductions — flows into a single Odoo CRM pipeline. Leads are tagged by source (Anuga, SIAL, Gulfood, web), product interest, buyer type, and country. Country leads see their filtered view; HQ in Mahuva sees everything. Management can now answer "Which expo gave us the best ROI this year?" in two clicks.
📦
Sample Management — Dispatch to Conversion, Fully Tracked
When a buyer requests a sample, a record is raised in Odoo against their lead — capturing product, quantity, packaging format, dispatch date, and courier reference. A follow-up task auto-triggers 7 days after confirmed delivery, and again at 14 days if there's no response. When the sample converts to a purchase enquiry, it links directly to the resulting quotation and sales order — giving LD Food end-to-end traceability from sample dispatched to order confirmed.
📋
Incoterm-Ready Quotes in Under 2 Hours
The Odoo Sales module was configured with LD Food's full product catalogue — moisture specs, granulometry, colour grade, shelf life. Incoterm selection (FOB Mundra, CIF Hamburg, DDP Rotterdam) auto-loads the relevant freight and insurance costs. A buyer asking for both FOB and CIF gets both versions in minutes — professionally formatted. Quotes are versioned; the accepted version is locked. No more disputes over which price was agreed.
🏷️
Buyer Spec Library — Packaging & Compliance, Always Ready
Every buyer's packaging requirements — bag type, net weight, label design, barcode format, allergen declarations, EU/US compliance language — are stored as a specification record linked to their account. On reorder, the correct spec auto-attaches to the sales order and flows directly to the packing team with a digital sign-off before dispatch. Spec errors reaching production dropped to near zero after go-live.
📈
Sales Team Scaling Without Operational Chaos
New country representatives onboard into a structured system — pipeline, lead assignments, follow-up tasks, and quotation history are in Odoo from day one. As LD Food expanded domestic sales across Gujarat, each new location was added without overhead at Mahuva HQ. Performance is visible across every geography: leads touched, quotes sent, sample conversions, and pipeline value — all on one dashboard.
The Results

Before vs. After — Across the Sales Cycle

"We were going to three or four international expos a year, coming back with hundreds of contacts, and then losing half of them because there was no system to follow through. Now every lead has an owner, every sample has a follow-up, and every quote goes out in the buyer's preferred format within the same day. We're not chasing our own records anymore — we're closing business."
